Solar Equipment Storage 3PL: From Port Arrival to Project Site
The Challenge
A solar panel company needed an experienced 3PL partner to manage a complex, time-sensitive project spanning port drayage, short-term storage, inventory control, and final delivery to a solar installation site. Rather than coordinating multiple providers, the company wanted a single partner to manage the entire process, from monitoring container availability at the Port of Charleston and scheduling drayage to storing the equipment and delivering it directly to the project site.
The company was also transitioning inventory away from a previous warehouse provider after experiencing service challenges related to poor inventory management practices and consistent damages to their solar panel products. For the new operation, each inbound container’s product needed to remain grouped together and ship outbound under the corresponding container reference to improve inventory traceability.
It was later realized the final delivery environment would add another layer of complexity. Like many construction sites, the solar field had unfinished roads and limited infrastructure, creating difficult conditions for drivers and equipment. Deliveries also required more structured appointment coordination and accurate documentation of driver arrival and departure times to help manage carrier detention exposure.
The Solution
Sunland developed an end-to-end logistics solution that connected port activity, drayage, warehouse storage, inventory control, project staging, and final-mile delivery. The team coordinated carriers, monitored container availability, scheduled port pickups within available free time, paid carriers on the customer’s behalf, and consolidated project-related activity into one monthly bill.
At Sunland Logistics Solutions’ North Charleston multi-client warehouse facility in South Carolina, the team established a controlled storage plan designed around the solar panels’ dimensions and handling requirements. Specialized long fork with certified forklift drivers were used to unload the panels, while warehouse handling equipment and storage practices were adapted for safe putaway. Each unit was labeled with its originating container number, helping keep inventory organized by container and supporting accurate outbound sequencing.
Sunland also used warehouse and yard capacity strategically to respond to changing vessel and project schedules. Although the operation had an established daily container-processing commitment, the team could pull additional containers from the port and stage them in available yard locations when necessary. This flexibility helped protect the customer from port delays when container arrivals exceeded normal warehouse receiving capacity.
When equipment could move directly to the project site, Sunland adjusted the operating model rather than routing every container through the warehouse. Containers could be held temporarily in the yard and then delivered directly to the site, allowing the customer to avoid unnecessary warehouse handling and storage charges. Sunland evaluated warehouse storage, yard storage, and direct delivery together to determine the most beneficial option for the customer as project conditions changed.
For outbound deliveries, Sunland coordinated appointment schedules and helped establish more disciplined process documentation for arrival and departure times at the solar field. Drivers were instructed to record this information on delivery paperwork, so the project team had reliable support for challenging detention charges. Sunland’s team also documented trailer conditions before equipment departed its facility, an important safeguard given the potential for trailer damage during boom-truck unloading at the project site.
The Results
Over the approximately three-month project, Sunland received and shipped approximately 148 containers, moving the solar equipment through the operation while maintaining the required container-level organization. Leveraging a flexible warehousing model, Sunland’s team seamlessly accommodated changing space utilization levels reaching over 80,000 square feet at its peak.
Zero Port Demurrage Charges: Through active port monitoring, flexible yard storage, and the ability to receive containers beyond normal daily capacity, Sunland released every project container from the port within its free-time window. As a result, the customer incurred no port demurrage or other additional charges associated with containers remaining at the port beyond their free days.
Improved Inventory Management: Sunland achieved zero inventory discrepancies during the project and reduced product damage significantly. Only two instances of panel damage were identified across all products handled, and both were reported immediately to the customer with photographs, thorough supporting documentation, and corrective actions.
Jobsite Delivery Process Leadership: The customer also gained clearer visibility into detention at the project site through structured appointment scheduling and documented driver wait times. This documentation highlighted the financial impact of delays and gave the customer a more reliable basis for addressing site practices, reviewing carrier charges.
Ultimately, the customer gained one accountable logistics partner capable of adapting the solution as vessel schedules, storage requirements, carrier availability, and job-site conditions evolved. By integrating drayage, storage, inventory control, yard staging, direct delivery, carrier coordination, and consolidated billing, Sunland provided the flexibility and operational discipline needed to move sensitive solar equipment from port arrival to project site.
